Software Selection Checklist
Use this sheet to compare business software options against your real workflow before you decide.
1. Your business
- We have written down our five most frequent daily tasks
- We know how many users and branches will use the software
- We know which three reports the owner needs every week
- We know which documents must be printed (invoices, receipts, slips)
2. Fit to workflow
- The vendor showed our own scenario, not only a sample
- Special cases (returns, partial payments, discounts, advances) were demonstrated
- Reports match the way we make decisions
- Our industry terms are used correctly (for example chassis, rooms, BOQ, patients)
3. Access and deployment
- Cloud or desktop has been decided with reasons
- Mobile and tablet access works if we need it
- We know what happens when the internet is down
- Multi-branch access and branch-level permissions are available if needed
4. Security and data
- Each user has their own login and role
- We know who can export or delete data
- We know how often backups run and how a restore works
- We know who owns the data and how we can take a copy if we leave
5. Cost and terms
- The quotation lists setup, customization, training and support separately
- We know the annual upgrade and support charge
- Hosting, domain and third-party costs are stated
