The real difference
Cloud software runs on a server and you reach it through a browser. Desktop software is installed on a particular computer and keeps its data there. Neither is automatically better. The right choice depends on where your people work, how reliable your internet is and who looks after backups.
When cloud is the better fit
Cloud is usually the stronger option if you have more than one branch, if the owner wants to check numbers from home or while travelling, or if several people need the same live data.
- Branches and head office see the same records
- Updates are applied once instead of on every computer
- Backups can run automatically on the server
- Phones and tablets can be used, not only one PC
When desktop still makes sense
A single counter in a location with unreliable internet may prefer a desktop installation. Data stays local and the software keeps working during outages. The trade-off is that backups, updates and security become your responsibility, and a damaged computer can mean lost data if backups were skipped.
Backups are the question that decides
Whatever you choose, ask who is responsible for backups, how often they run and how restoration works. A backup that has never been tested is only a hope. For desktop systems, make a habit of copying backups to a different device or storage.
A simple decision guide
Answer these questions honestly and the choice usually becomes clear.
- Do you have more than one location? Prefer cloud.
- Does the owner need remote access? Prefer cloud.
- Is internet unreliable at the main counter? Consider desktop or a hybrid approach.
- Do you have someone who will manage backups? Desktop becomes safer.
Getting advice for your case
If you are unsure, describe your locations, number of users and internet situation to a software provider and ask for a recommendation. A good provider will explain trade-offs instead of pushing one option.
