Why rooms get double booked

Double bookings rarely come from carelessness. They come from two people holding two versions of the same truth: a phone call that was noted in one book and a walk-in that was noted in another. The fix is one availability view that everyone uses.

One calendar for every booking source

Whether a booking arrives by phone, message, walk-in or an online listing, it should land on the same calendar and block the room immediately. Staff should be able to look up a date range and see which room types are free, not just today's availability.

Make check-in light and check-out accurate

A good check-in captures the guest's identity details once and links them to the stay. At checkout, every charge, from restaurant bills to laundry, should already be on the guest folio. This avoids the end-of-stay argument over amounts nobody can verify.

Let housekeeping see the same board

Housekeeping and front desk often work in different worlds. A status board with clean, dirty, occupied and maintenance rooms removes the radio calls and verbal updates between shifts. Front desk can promise an early check-in only when it knows the room is ready.

What to review every day

A small daily review keeps a property healthy.

  • Tomorrow's arrivals and departures
  • Rooms out of order and for how long
  • Unpaid balances on in-house guests
  • Revenue and occupancy compared with the same weekday last week

Small properties benefit as well

A guest house with twelve rooms does not need complexity, but it benefits from the same discipline: one calendar, one folio per guest and one daily closing summary. Choose software that lets you start with the basics and add features later.
