Products are the base of billing and stock. A clear naming and pricing pattern from the start prevents duplicates and confusion later. The same approach applies to services, rooms, vehicles or any other item your product tracks.

Steps

  1. Choose a naming pattern

Decide one pattern, such as Brand + Item + Size, and use it for every item. Consistent names make search fast.

  2. Create categories

Add a small set of categories that match how you report, for example by department or product group.

  3. Add the item

Enter the name, category, unit of measure and, if you use them, a code or barcode.

  4. Set prices and cost

Enter the purchase cost and the selling price. With both, the system can show your margin.

  5. Enter opening stock

Add the quantity you actually counted. Use a real physical count rather than an estimate.

  6. Set a minimum level

Enter a minimum quantity for fast-moving items so the system can warn you before they run out.

Tips

  • Import many items at once using the data import template from our Downloads page
  • Count stock before entering opening quantities
  • Review prices each month

Common mistakes

  • Creating the same item twice with slightly different names
  • Leaving cost price empty, which hides your margin
  • Guessing opening stock
