A sales invoice links the customer, items, payment and stock. Doing it the same way every time keeps customer balances and stock accurate. The exact buttons depend on your product, but the sequence is the same.
Steps
Start a new sale
Open the sales screen and choose cash sale or credit sale, depending on how the customer will pay.
Select or add the customer
Search for the customer. For regular customers, always select the saved record so their balance updates.
Add items
Search or scan items and enter quantities. Check that the price shown is correct before moving on.
Apply discount or charges
Enter a discount if permitted. If your business restricts discounts, ask a manager to approve.
Record payment
Enter the amount received. If it is less than the total, the balance stays on the customer ledger.
Save and print
Save the invoice and print or share it. Hand the customer a copy so they can verify the amount.
Handle returns correctly
If goods come back, use the return option linked to the original invoice instead of editing the sale.
Tips
- Always select the saved customer for credit sales
- Check totals on screen before printing
- Use returns, not deletions, to correct completed sales
Common mistakes
- Selling to a walk-in account and promising credit later
- Editing old invoices instead of recording a return
- Skipping payment entry so balances look wrong
